ScoutWire ("ScoutWire", "we", "us", or "our") provides a signal-intelligence sales platform. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have. By creating an account or using the Service, you agree to this Policy.
ScoutWire is business-to-business software intended for use by companies and their personnel. It is not directed to consumers or to children.
1. Information We Collect
Information you provide
- Account & identity: name and email address, managed through our authentication provider (Clerk). We do not store your password.
- Access requests: name, company, work email, what you sell, and any notes you submit through our request-access or contact forms.
- Workspace configuration: your company positioning, proof points, service lines, ideal-customer criteria, and outbound domain.
- Context you upload ("Context Vault"): documents, notes, and materials you provide to ground the Service's research and drafting. You are responsible for having the right to submit this content.
- Payment information: if you subscribe, billing is handled by our payment processor; we do not store full card numbers.
Information collected automatically
- Usage & product data: features used, actions taken, requests made to AI endpoints, approximate token/compute usage, log and diagnostic data, IP address, browser and device information.
- Cookies & local storage: used to keep you signed in and to remember interface state. See Section 5.
Information from public and third-party sources
- The Service sources lead and company information from public records and sources, including U.S. Securities and Exchange Commission filings (EDGAR — Form D, Form ADV), public job boards, the U.S. Department of Health and Human Services breach portal, news, and commercial enrichment providers. This may include business-contact information about third parties (for example, publicly listed roles at target companies).
2. How We Use Information
- Provide, operate, secure, and improve the Service, including sourcing, scoring, researching, and drafting outreach.
- Authenticate users, manage workspaces and entitlements, and process payments.
- Generate AI research profiles and email drafts using your workspace configuration and Context Vault as inputs.
- Monitor usage for reliability, abuse prevention, rate limiting, and billing.
- Communicate with you about your account, support, and product updates.
- Comply with legal obligations and enforce our agreements.
3. AI Processing
The Service uses third-party large-language-model providers (currently Anthropic) to generate research summaries and draft communications. Your prompts and relevant workspace/context data are transmitted to these providers to produce output. We instruct our providers not to train their models on your business content, subject to their terms. AI output may be inaccurate and must be reviewed before use (see our Terms of Service).
4. How We Share Information
We do not sell your personal information. We share it only as follows:
- Service providers (sub-processors) who help us run the Service, under contract, including: Clerk (authentication), Neon/PostgreSQL (database), Vercel (hosting), Anthropic (AI processing), and our email and payment providers.
- Legal & safety: when required by law, to protect rights and safety, or in connection with a corporate transaction.
- With your direction: for example, when you send an email through the Service to a recipient you choose.
5. Cookies & Analytics
We use strictly necessary cookies and browser local storage to keep you signed in and to remember interface preferences. We may use privacy-respecting product analytics to understand usage. You can control cookies through your browser, though some features may not work without them.
6. Data Security
We use commercially reasonable technical and organizational measures — including encryption in transit, access controls, and secrets management — to protect information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
7. Data Retention
We retain account, workspace, and usage data for as long as your account is active and as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements. You may request deletion as described below; some records may be retained where required by law.
8. Your Rights & Choices
Depending on your location, you may have rights to access, correct, delete, or port your personal information, and to object to or restrict certain processing. To exercise these rights, contact us at legal@scoutwire.io. We will respond within the time required by applicable law. Where we process information about third parties on your behalf, you are responsible for handling their rights requests as the controller of that data.
9. International Users
The Service is operated in the United States. If you access it from outside the U.S., you consent to the transfer and processing of your information in the United States and other countries where we or our providers operate.
10. Changes to This Policy
We may update this Policy from time to time. Material changes will be posted here with an updated effective date and, where appropriate, notified to you. Continued use of the Service after changes take effect constitutes acceptance.
